Voyager PTA Job Descriptions
- President – The president is responsible for overseeing and administering all PTA meetings to include the Executive Board Meetings and General Membership Meetings. This includes ensuring that agendas are prepared and distributed prior to the meeting; keeping the meeting on track; opening items for discussion and calling for votes as needed. The president should delegate duties to committee heads and other officers and is responsible for staying on top of items voted on to ensure completion in a timely manner. There are usually 4-5 General Membership meetings and one Executive Board Meeting each month from August through May. There is a planning session that takes place in June or July to prepare for the opening of school. The president generally has signature power for funds disbursement. Time commitment: 2-3 hours/month.
- Vice President – This person has the fund raising committee report to him/her. Working with the fund raising committee, the VP will help select the fund raising programs and offer support as needed. The Vice President presides over PTA meetings in the President’s absence. Time commitment: 2-3 hours/month.
- Treasurer – This person is responsible for maintaining all financial records. He/she will prepare a financial report for all Executive Board and General Membership meetings. He/she works with the other board members to develop and present the annual PTSA budget. He/she prepares checks for disbursement of funds and secures the necessary signatures. He/she balances bank statements and maintains accurate records that can be turned over for audit once a year. Time commitment: 3-4 hours/month.
- Financial Secretary – This person is responsible for verification of all deposits, making deposits at bank, and verification of all requests for reimbursement presented to the PTA for payment. This person must sign off on all reimbursements before turning the documentation over to the treasurer for payment. The Financial Secretary must all verify the bank statement for completeness after the Treasurer has balanced the account.
- Secretary – This person is responsible for recording minutes from all PTA meetings. The minutes must be typed and submitted for approval at each Executive Board Meeting. Minutes must include people in attendance and a summary of key points discussed. When votes are takes notation of a first and second motion as well as the outcome of the vote must be recorded. The secretary is also responsible for collecting and compiling information for a quarterly newsletter. Time commitment: 1-2 hours/month.
Committee Positions Appointed
- Hospitality – This committee is responsible for hosting several lunches, breakfasts or specialty snacks throughout the year. Typically, the events include: a new year kick-off breakfast for staff before school starts; a lunch/specialty snack at least once a quarter; the teacher appreciation week luncheon; janitorial staff appreciation; and refreshments for PTA General Membership meetings as needed. Time commitment: 2-3 hours/event.
- Membership – This committee is responsible for signing up new PTA members, providing membership cards to new members, maintaining a master membership list, and submitting the required membership dues paperwork to the state. Time commitment: 3-4 hours in first few months of school but then drops to almost none after October.
- Fund Raising – This committee takes the responsibility for raising funds to support academic programs and student events not funded through the school. The PTA will focus mainly on volunteer coordination. Large fund raising efforts will take place only as a specific need arises. Time commitment: 2-3 Hours per month.
- Arts Enrichment – This committee will coordinate the Arts Enrichment programs that will take place on the early release day. They will develop various options that students may sign up to participate it. Time commitment: 5-6 hours per month.
- Yearbook – This committee will work with students and Strawbridge Studios to compile an annual yearbook. They will be responsible for gathering team photos, action photos of students learning, pictures of family events, etc. Time commitment: 2-3 hours per month.
- Grade Parent – This person will coordinate efforts of all grade parents acting as the chief source for information on school-wide events such as teacher appreciation week. Time commitment: 1-2 hours per month.
- Web Site – This committee will work to improve the existing school web site to include education links, PTA page, and other information. Someone on the committee will also act as the web master. Time commitment: Initially perhaps 5-10 hours of development time, then only as needed to maintain web site.
- Car Line Coordinator – This person will develop a rotational list of volunteers that will help with car line in the morning and afternoon. This will free up teachers and administration to offer conferences with parents and academic prep time. Time commitment: 1-3 hours per month.
- Tutoring – This committee will work with the administration to identify tutoring needs and coordinate volunteers to assist with these sessions. Time commitment: 1-3 hours per month
